Position Summary

CCME, Inc. is seeking a highly organized and proactive Administrative Assistant to provide comprehensive, high-level support directly to the President and CEO. This pivotal role involves managing diverse administrative and operational tasks, including document preparation, meeting coordination, and handling sensitive information with the utmost discretion. The Administrative Assistant will also support the leadership team, potentially attend community engagements, and drive company vehicles as needed. Success in this position requires strong organizational, communication, and problem-solving skills, along with flexibility and a commitment to professionalism.

Key Responsibilities:

• Provide comprehensive administrative support to the President and CEO, ensuring seamless operations

• Offer office support, including document preparation, spreadsheet creation, and maintain filing systems and contracts

• Handle various clerical tasks such as drafting correspondence, preparing invoices, and various reports

• Assist in financial administration, including preparing and issuing invoices to clients and assisting with accounts receivable and accounts payable

• Maintain business license renewals and applications

• Assist with managing payroll for employees

• Attend weekly meetings with the President and CEO, taking notes and recording minutes

• Maintain the highest standard of professionalism and strict confidentiality with all materials and communications

• Undertake additional responsibilities as assigned by the President and CEO

• General Housekeeping of the Fresno Office including light cleaning and ensuring kitchen supplies are well-stocked

• Coordinate travel arrangements and accommodations

• Assist with fleet management including repair and maintenance, overseeing monthly mileage reports, collecting driver licenses, issuing auto insurance, etc.

• Operate company vehicles (including large trucks) as needed for travel and errands

• Perform other related tasks as required

Qualifications:

An Administrative Assistant should possess a diverse set of skills and qualifications to effectively support high-level executives in various administrative and operational tasks. Key qualifications include:

Strong Organizational Skills : Ability to manage multiple tasks and prioritize effectively in a fast-paced environment, ensuring smooth operation of day-to-day activities.

Excellent Communication Skills : Proficient in both verbal and written communication, with the ability to interact professionally with executives, clients, and stakeholders at all levels.

Proficient in Office Software and Technology : Advanced knowledge of office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).

Time Management and Problem-Solving : Skilled in managing calendars, scheduling meetings, and handling last-minute changes, while demonstrating excellent problem-solving abilities.

Confidentiality and Discretion : High level of trustworthiness to manage sensitive information and demonstrate discretion in all matters.

Attention to Detail : Ability to maintain accuracy in all administrative tasks, from organizing documents to preparing reports, managing correspondence, and inputting payroll.

Professionalism : Demonstrated ability to act with professionalism and poise, representing the executive and organization with integrity.

Multi-tasking and Flexibility : Ability to handle varying workloads, adapt to changing priorities, and stay calm under pressure.

Experience and Education : 1-3 years of progressive experience in administrative support roles, with a preference for a background in business administration, communications, accounting or a related field. A college degree is preferred but not required for this role.

Valid California Driver’s License : Must possess a valid California driver’s license in good standing to assist with travel or errands as needed and drive company vehicles (trucks).

Schedule & Location

• Schedule: Monday to Friday, potential for work outside of normal working hours in case of events or emergencies as available.

• Work Location: In person at our Fresno Office

Compensation

• Pay Range: Non-Exempt: $18.00 - $25.00 per hour
